Begin with a repeatable task such as classifying incoming enquiries, extracting document fields or preparing a draft response. Record current handling time and common errors. Define the input, the expected output and the decisions that must stay with a person, then evaluate the proposed workflow on representative examples.
Design exceptions before expanding the pilot.
Real inputs are incomplete, contradictory and occasionally misleading. An automation needs a route for uncertain results, unavailable services and rejected actions. Keep access limited, log the important steps and make it possible to pause the workflow. Expand only after the team understands both useful results and failure cases.

Which processes are good candidates for AI?
Repetitive information tasks with clear inputs, reviewable outputs and a measurable objective are useful starting points. Simple deterministic tasks may be better handled by conventional automation without an AI model.
Can AI use our internal documents?
It can be designed to retrieve approved information, subject to permissions, data quality and the selected platform's handling of data. Access boundaries should follow the user and the purpose of the task.
Will AI act without human approval?
That is a design decision. Drafting and classification can be separated from actions such as sending messages or changing records. Higher-consequence actions should have explicit approval and exception handling.
How do we evaluate whether a pilot is worthwhile?
Compare handling effort, review time, error patterns and operating cost with the current process. Use representative cases, including difficult inputs, rather than judging the workflow from a successful demonstration alone.
